Job Description

The Office Coordinator role has been designed to align with the evolving operational needs of the new office. With a reduced office size and a greater focus on hospitality, employee engagement, and front-facing support, this position ensures a well-organised and welcoming environment for employees and visitors. The role requires a proactive and organised individual to deliver excellent front-of-house service, support office operations, optimise meeting room usage, and assist with People & Culture initiatives. Additionally, the Office Coordinator will support daily operations, liaise with external providers, and maintain a safe, efficient, and professional workspace.

 

Core Responsibilities

  • Deliver a high-quality front-of-house experience for employees, guests, and partners.
  • Ensure the reception area and communal spaces are well-maintained and presentable
  • Support internal events and office gatherings, coordinating logistics and refreshments
  • Support meeting room bookings via GoBright, ensuring fair allocation and helping colleagues with scheduling or troubleshooting.
  • Manage the scheduling of larger meetings and ensure necessary resources are available
  • Troubleshoot any booking conflicts or room availability issues
  • Oversee refreshment points, coffee machines, and kitchen supplies to enhance the employee experience.
  • Monitor communal and welfare areas, liaising with the cleaning team to ensure consistently high standards of hygiene and presentation.
  • Liaise with the building management team and service providers to arrange visits, report issues, and follow up on completion of works.
  • Oversee the access control card system, including issuing and deactivating cards as needed
  • Conduct routine checks on office security and CCTV monitoring to identify and address facility-related concerns
  • Act as a point of contact for HR-related office initiatives, fostering a positive and inclusive workplace culture
  • Assist with onboarding new employees, ensuring they are familiar with office facilities and procedures
  • Support the HoF with facility-related tasks, inductions, contractor coordination, and ad-hoc projects.
  • Play an active role within the wider People & Culture team, contributing to onboarding, engagement, and wellbeing activities.

Person Specification

Essential:

  • Strong organisational and multitasking skills, with the ability to prioritise tasks effectively
  • Excellent communication and interpersonal abilities, with a focus on hospitality and professionalism
  • Proven experience in office coordination, hospitality, or front-of-house support within a professional environment
  • Ability to manage schedules, meeting room bookings, and office supplies efficiently
  • Proficiency in Microsoft Office (Outlook, Word, Excel) and booking or visitor management systems.
  • Strong problem-solving skills and ability to handle unexpected operational challenges
  • High level of discretion and professionalism when handling sensitive information
  • Awareness of building access, visitor, and security procedures.

Desirable

  • Familiarity with meeting room booking systems and office scheduling software
  • Understanding of basic health and safety regulations related to office environments
  • Experience working with external vendors and service providers
